Applicants in London searched a one-bed the team does not cover. Birmingham vendors wanted a valuation the site never offered, because the site was a thin frame around portal embeds. Leeds, Bristol, and Liverpool branches each bought their own boosts. Glasgow and Edinburgh were on a "UK coverage" line that no one could staff. When a package month ended, the audience ended. The VAT invoice proved the spend. GDPR questions about where an applicant's phone number lived were answered with a shrug, because the number often sat in an agent's handset. Stripe was used ad hoc for holding deposits. GoCardless was irrelevant. Nothing about the follow-up was a system.
A rented register
Portals are useful for vendors who expect to see their home there. They are a weak place to own the next instruction. You cannot take the audience with you, and two offices often phone the same person.
Phase one: the branch site
The website states the postcodes you cover, a fee approach that can become a VAT invoice, and a named negotiator. Forms explain the GDPR basis and the retention period in plain words. WhatsApp or a tracked call is fine if the company owns the number. Phase one replaces the empty frame. It does not require you to leave the portals overnight.
Phase two: hyperlocal pages
Write the areas you farm: a Manchester suburb is not a Leeds suburb and not a Bristol street. Search work builds those pages and the proof on them. It does not offer a guaranteed place in a list. Count valuation requests and viewings from each URL. Drop Edinburgh or Glasgow pages if you have no negotiator there. London only if you will actually attend.
Phase three: one CRM
Portal applicants you still buy, and everyone who used the site, enter a CRM the agency owns. WhatsApp or email follows a script: budget, position, next viewing. A deletion request can be completed without calling a portal support desk. Deposits, if you take them, go through the company's Stripe account with the amount and the VAT made obvious.

The owned engine in the model produced accepted leads at £19 against £48 on the portal blend. Fewer applicants. More of them could be visited, because the page had already named the area. Use that as a planning picture for a board pack, not as a published case about a named agency. Keep Rightmove or Zoopla where vendors demand it. Stop using them as the only memory the business has.
